How to build a useful timed meeting agenda
Start with a purpose that explains why the meeting exists, not merely its topic. Give every discussion a realistic time box and a named owner. Preparation tells attendees what to bring or read before the conversation; the desired outcome states what should be decided, produced, or clarified. Those fields are intentionally separate so a link to a document is not mistaken for a decision. Reorder items to put context before decisions and keep a short break when a long session needs one. The schedule recalculates immediately, including meetings that pass midnight. A “+1 day” marker prevents the next-day time from looking like an earlier time. Use the text copy for chat or email and Print / Save PDF for a clean document. The downloaded plan is JSON that can be opened here again; it is not a calendar invitation and it does not send anything to attendees. Times are planning estimates, not legal meeting procedure. For recurring meetings, load your saved plan, update the date and topics, and check the calculated end time before sharing.
